Our reasons for leaving an office differ, but all of us are grateful for the experiences we witnessed in our time of service.

The process of leaving an office can be strenuous, which is why we often neglect to express our gratitude towards the office and mates we worked with, shared meeting desk with. You see, gratitude is important and therefore it will be nice to express our thankfulness towards each person we worked with. Because no matter how annoying they were as a colleague or manager, but they always managed to teach us some important lessons about our ability, corporate world, techniques, and tricks, etc.

Even though you worked with a firm for a short period, just do not escape sending a goodbye mail. Goodbye, mail can work in your favor and that too in such ways you did not think it actually would.

The real problem is that even though we have had quite an experience in writing out all sorts of mail, but the mail where you bid your current office is quite a troublesome task to perform. Many of us are seen making a blunder of emotions and sending it to the officials, and that leads to an ill impression.

Dump your worry, open the mailbox, and follow these instructions:

1. Brief and Formal:

One’s mail is short, crisp, and concise enough to convey the message. Your motive is to deliver a goodbye mail and not a goodbye speech, so make sure you mention the motive in short and simplest form of words.

Fancy poetry and all will be too much for such an official mail.

2. Emotions with an essence of gratitude:

As mentioned above, do not try to create a blunder out of emotions. Always go with a mail which is short enough to convey the message of appreciation.

You can point out how you changed in a better employee or maybe conclude with your boss’s favorite quote.

3. A formal sneak-peek into your upcoming job:

Remember, you don’t have to mention the job responsibility or salary scale to be given by the new office. You can state how you will perform better at the new office because you have learned the basics in the current one.

Mentioning the name of the office can be quite a risk so instead of mentioning you have joined an office, say that you need a break and meanwhile you will search for a new office. Through this trick, your current boss (no matter how badly he wants to) just won’t be able to ruin the new office for you.

4. Don’t CC your boss:

Adding your boss in the group of colleagues is a naïve move. Always and always send a separate text to your boss.

Mention how you learned things from him and give him an assured impression that you will make him proud no matter where you go.

5. Be cautious with the subject line:

Many amongst us are excellent with mail body but don’t quite understand how to summarise the message into 5 or 6 words.

Here are some subject lines you can use:

  • Thankful: Last day
  • Last Day: A memory forever
  • Last Day: Ending of a chapter (office name)
  • Last Day: Ready to fly

6. Talk Work:

You can sum up the mail by mentioning your projects. How you faced difficulties and each of difficulty leads to an experience.

Tell your boss and colleagues that you are glad they were with you while you were having your day through the situations.

7. Send when the time is right:

Time has always been a game-changer. Choose the right time to send your mail. Although the best time to send the mail is a few hours before leaving the workplace, you can also send it a day or two before the last day of work.

Send the mail only after confirming your bid from the officials of the company. Do not send it without informing and taking the grant from the manager or the authority in charge.
